Position Summary:
The Administrative Assistant plays a vital role in supporting the smooth and effective functioning of Living Mussar. This position provides administrative, organizational, and communications support to the Executive and Managing Directors and broader team, helping ensure that programs, partnerships, and operations run with clarity, care, and professionalism.
The ideal candidate is highly organized, dependable, and detail-oriented, with demonstrated experience in administrative support or a related role. They are comfortable working proactively and independently in a mission-driven, values-centered environment. Clear and consistent communication is essential.
This position has the potential to grow in scope and responsibility.
Primary Duties and Responsibilities
Responsibilities:
Administrative & Operations Support
- Provide day-to-day administrative support to the Executive & Managing Director and program staff
- Assist with data entry and file management
- Follow up on action items as needed
Program & Event Support
- Support logistics for programs, trainings, events, and stewardship campaigns
- Help manage registrations, confirmations, and follow-up communications before and after events
- Pull and prepare participant, donor, and mailing lists as needed
- Assist with post-event follow-up, including thank-yous and surveys
Communications & Outreach
- Triage and respond to general information emails with warmth and clarity, routing inquiries as needed
- Assist with newsletter production and social media post scheduling
- May assist with content generation over time, as appropriate
Development & Partnerships Support
- Perform stewardship campaign tasks, including data entry, acknowledgments, and list management
- Assist with donor communications and record-keeping
- Support grant-related administration and reporting as needed
General Support
- Anticipate administrative needs and proactively offer solutions
- Take on additional responsibilities based on experience, interest, and ability to learn new tasks
- Support special projects as assigned
- Uphold Living Mussar’s values of integrity, collaboration, and care in all interactions
Experience and Qualifications Requirements:
- Demonstrated experience in an administrative, operations, or executive support role
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency with standard office tools (email, calendars, spreadsheets, cloud-based file management)
- Ability to work independently, manage multiple priorities, and meet deadlines
- Alignment with Living Mussar’s mission and values
- Experience with nonprofit organizations, donor databases, or CRM platforms is a plus
