Position Summary:

We are looking for a reliable, positive Administrative Coordinator to join the amazing team at Twin Cities Mussar.

Twin Cities Mussar is the nation’s largest community-based Mussar initiative and strives to practice the values of Mussar in every aspect of our organization. We honor people of all identities and backgrounds.

Twin Cities Mussar creates, supports and sustains 20+ small group learning programs and community education Mussar promotes personal transformation as a pathway toward creating a better world. The timeless teachings and practices of Mussar, a Jewish spiritual approach of character development, provide guidance in living life consistent with one’s core values. Due to the great success and demand for more Mussar groups, trained facilitators and community workshops, our organization needs a skilled administrative coordinator to build foundational systems and help organize our growth.

Primary Duties and Responsibilities

  1. Financial support
  • Annual and One-time duties
  • Establish an invoicing system
  • Establish donor tracking system
  • Build financial system (i.e Quickbooks online)

Ongoing Duties

  • Track finances – Write invoices & manage collections
  • Manage transfer of funds with fiscal agent
  • Manage expense payments and generate monthly financial reports
  1. Fundraising Support
  • Annual and One-time duties
  • Establish System for tracking prospects, solicitations and donations
  • Establish recurring donations system
  • Create website fundraising pages

Ongoing duties

  • Follow up with verbal commitments from donors
  • Respond to all donations with thank yous
  • Manage FaceBook and designated donations
  • Provide quarterly fundraising updates
  • Update website fundraising page
  1. Marketing Support
  • Annual and One-time duties
  • Establish system of coordination with organizational partners to advertise program groups and to track registration
  • Establish calendaring system for marketing programs, groups and events
  • Establish social media and email system and calendar
  • Develop email tracking system compatible with Mailchimp

Ongoing duties

  • Communicate with facilitators to get dates, times, curricula needs
  • Social media: post events, programs on all platforms
  • Update website
  • Canva: create promotional materials
  • Mailchimp: create newsletters and eblasts to promote all groups and programs
  • Living Mussar podcast: provide promotional materials to partner organizations
  1. Program Support
  • Annual and One-time duties
  • Establish program management tracking system which assists with: effective and efficient operations, implementing weekly goal setting, timeframes and action steps
  • Establish program data tracking system
  • Establish podcast flow chart

Ongoing duties

  • Provide administrative support for events (including volunteer coordination, venue, security arrangements, sound system, name tags, food purchasing, room setup, materials printing, confirmation emails,thank you follow up emails, etc.)
  • Create, distribute and collect participant surveys
  • Collect and track data re: participant satisfaction, attendance, testimonials
  • Living Mussar podcast: oversee guests communications
  • Format written curricula: headers/footers, page numbers, edits
  • Send curricula materials to facilitators
  1. Volunteer Coordination

Annual and One-time duties

  • Establish volunteer management system

Ongoing duties

  • Communicate assignments and projects with volunteers
  • Enter data into volunteer management system

Experience and Qualifications Requirements:

  • Experience working in administrative coordination.
  • High integrity and ability to work independently, organize and manage a wide variety of essential tasks, hit deadlines, and maintain superb attention to detail.
  • Excellent time management skills and responsiveness to a wide variety of team needs.
  • Personable, effective, proactive, and professional communicator.
  • A commitment to diversity, equity, inclusion and justice as it pertains to our workplace, interaction with the community, and the Jewish population specifically.
  • Experience with Trello, Quickbooks, Mailchimp, Social Media is a plus.
  • Excel, data analysis, and reporting skills experience are a plus.
  • Experience with simple website updates, content writing, and working with tools such as Canva is a plus.
