Position Summary:

The Shir Tikvah Event Coordinator is a parttime position at 2530 hours per week and is responsible for the overall management and implementation of events – both inside our building and in the community. Duties include engaging with staff and congregants on programs and life cyclerelated events, working with vendors and external stakeholders, coordinating building use and calendars, and managing supplies and other items to ensure success.


Primary Duties and Responsibilities

In partnership with Shir Tikvah staff & clergy, work with congregants and families on events that require use of the building:

  • Logistical details and planning in relation with congregants’ needs (weddings, funerals, etc):
  • Meet with families to plan and review logistics, prepare, and support them
  • Assist with meal planning, work with catering and waitstaff to set up and clean up
  • Help create and print relevant materials
  • Purchase supplies
  • Be present as the point person for guests on the day of the event
  • Conduct event follo-up including payments, surveys, and notes
  • Purchase supplies

Event and project management for events both inside & outside the Shir Tikvah building

  • Plan, coordinate, and oversee event communication
  • Serve as an integral member of the Shir Tikvah team in planning and execution of High Holy Days activities:
  • Coordinate logistics: building use, materials, accessibility, food
  • Coordinate with Lead Rabbi and other Shir Tikvah staff on the planning, implementation, and wrapup of events related to the High Holy Days
  • Coordinate with offsite hosts to make sure that the space is ready and details are managed

Oversee logistics and details related to weekly services as needed (Friday evenings and most Saturday mornings)

  • Scheduling and coordination of roles needed for each service (for example, Shammas, Ushers, Childcare, Greeters, Oneg captains)
  • Communication and coordination with other Shir Tikvah staff on relevant details

Building Oversight

  • Meet regularly with relevant staff to discuss building needs, calendar, and special requests
  • Establish and maintain relationships with vendors
  • Oversee kitchen and pantry spaces
  • Work with Shomrim (security) committee as needed
  • Oversee ordering and inventory of building supplies

Systems and Processes

  • Work with staff to create and manage solid standards of procedures as they apply to events
  • Develop and maintain necessary spreadsheets, records, and other tools to track and manage information
  • Work as part of a staff team to ensure that Shir Tikvah programs and services are well planned, organized, and implemented in support of the community’s vision and values

Other Related Duties as Assigned

  • Serve as an integral member of the staff and attend relevant meetings as necessary
  • Assist with office management tasks as needed
