Position Summary:
Jewfolk, Inc. is seeking a proactive and detail-oriented Operations/Executive Assistant to support our
Executive Director and help keep our operations running smoothly. This part-time role will involve
administrative and operational tasks essential to our mission. Ideal candidates are organized, flexible,
and self-directed, with a passion for nonprofit work.
Primary Duties and Responsibilities
- External Engagement: Coordinate logistics and provide support for Jewfolk’s engagement initiatives.
- ED Admin Support: Coordinate and manage the Executive Director’s calendar, scheduling meetings, calls, and appointments, ensuring efficient time usage; Monitor and manage the organization’s voicemail and routing to appropriate parties to ensure timely responses.
- Board Meeting Preparation: Assist in preparing materials for board meetings, including compiling agendas, organizing reports, collecting and organizing the team’s board updates, and communicating with board members.
- Ad Tracking and Reporting: Track and manage advertisement schedules.
- Check Pickup and Deposit: About twice a month, handle check pickups and deposits, and ensure timely and accurate recording of donations and other financial transactions.
- Writer and Client Contracts: Oversee contracts for freelance writers and consulting clients, including drafting and sending agreements, assisting with tracking client deliverables, and sending information to bookkeepers.
- Donor Tracking, Reporting, and Thank Yous: Enter/maintain donor records in our CRM system, generate reports, and provide regular updates on fundraising metrics. Send donor Thank You notes.
- Team Support: Coordinate and schedule staff meetings, check-ins, professional development opportunities, birthdays, and other internal team-related duties as they arise.
- Social Groups Management: Assist with managing Jewfolk’s social media groups.
Experience and Qualifications Requirements:
Required Skills and Qualifications
- Previous experience in an administrative, executive assistant, or operations role, ideally in a nonprofit or small business setting.
Skills:
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Office and Google Workspace.
- Familiarity with online tools (LGL, WordPress, Mailchimp, Airtable, Monday, Canva, and/or Digisigner) is a plus.

- Candidates in the Twin Cities area are preferred, but remote candidates are welcome to apply.
