Early Childhood Center Administrative Specialist

The Early Childhood Center (ECC) Administrative Specialist is responsible for supporting the ECC Executive Director and Director in developing and executing day-to-day administration of the ECC office. The Administrative Specialist is responsible for assisting parents in the office and supporting classrooms, including classroom coverage as needed. This position reports to the Early Childhood Center Executive Director. This is a full-time, salaried non-exempt (Professional Staff) position.

Primary Duties and Responsibilities:

  • Provide high-quality customer service to our clients in a manner which reflects the mission and values of the Sabes JCC ECC.
  • Provide a positive and nurturing environment for our children.
  • To observe health and safety of children and report any condition needing attention, help children with eating, dressing, toileting, and sleeping habits.
  • Assist in the room maintenance to keep the classroom and center safe, clean, attractive, and in compliance with health and safety requirements.
  • Assist Directors and staff in complying with state and local government licensing standards and regulations.
  • Know and follow the ECC health and behavior policies and guidelines.
  • Foster relationships with families and maintain privacy of families and children.
  • Greet children and parents warmly each day.
  • Manage and coordinate a two-week summer program.
  • Responsible for managing billing.
  • Assist with ordering and inventory of ECC supplies and equipment.
  • Assist with registrations and rosters for enrichment and ECFE classes.
  • Maintain room reservations, regular copying, and other teacher requests.
  • Oversee accident report and illness report documentation.
  • Manage monthly scholastic book orders and library maintenance.
  • Participate in regular staff meetings and trainings and other ECC special events.
  • Assist with additional classroom coverage as needed; including any long-term coverage needs. Work with the Director to coordinate last minute coverage needs.
  • Other duties as assigned.

Experience and Qualification Requirements:

  • 1+ years classroom teaching experience with preschool and/or early elementary grades.
  • 1+ years experience working in an office setting.
  • Bachelor’s degree required.
  • A passion for working with young children and their families.
  • Have effective communication skills (written and verbal)
  • Familiar with the use of Microsoft Office products and other forms of office communication (email, voicemail, etc).
  • Strong interpersonal skills with people at all levels and in all settings relevant to the Sabes JCC organization mission and ECC vision.
  • Ability to relate to a highly diverse environment and to be a team player.
  • Ability to function productively in a fast-paced environment, work independently and accept direction.
  • Have energy and physical stamina.
  • Flexible, good judgment, discretion, confidentiality, and reliability.
  • Anticipate and prevent problems; utilize problem-solving skills.
  • Ability to manage simultaneous, multiple projects, establishing priorities and meet deadlines.
  • Calm and positive attitude.
  • Available to work needed hours within 7 a.m.-6 p.m.
  • Be able to engage in all classroom daily activities (lifting up to 35 pounds, pushing up to 100 pounds, bending/kneeling/sitting at child level (on floor) for various activities; diapering; assisting with nap time; swimming; and ensuring children are within sight and sound at all times.)
