Organization

J-HAP is a nonprofit 501(c)3 organization dedicated to serving independent adults with intellectual and developmental disabilities (IDD). The mission is to create caring, safe and inclusive communities where adults with IDD build independent lives filled with meaningful experiences and relationships. J-HAP at Cornerstone Creek, an affordable, independent living, 45 unit state-of-the-art apartment building, opened in January of 2017.

The Role

The Office Manager will be responsible for the daily operations of the J-HAP office. This position will provide administrative support as well as support for communications. The office manager is required to work independently and with flexibility. They must be able to make confident decisions, be willing to learn new things, and solve problems strategically. This position is supervised by the Board of Directors.

Primary Duties and Responsibilities:

Responsibilities:

  • Communicate with security staff, property management, tenants, Board of Directors, and parents/guardians of tenants 
  • Ensure tenant comfort and safety is prioritized
  • Maintain tenant emergency plans
  • Meet with new families
  • Manage front desk staff and security personnel
  • Train, communicate and meet with security company managers
  • Read front desk reports
  • Maintain and update donor database, Little Green Light
  • Prepare and send weekly donor tributes and acknowledgements
  • Send thank you cards to donors
  • Prepare and distribute organization mailings
  • Copy, edit and format documents and communications
  • Monitor office supply stock and place orders as needed
  • Write monthly newsletter using Constant Contact 
  • Update and monitor J-HAP social media accounts
  • Design posters, flyers and signage
  • Update website content on WordPress
  • Ensure all publications follow style guidelines
  • Oversee volunteers
  • Weekly meetings with building management company
  • Follow up on tenant, guardian and maintenance issues
  • Communicate common space maintenance needs
  • Open mail-check invoices and approve payment
  • Return calls from parents, guardians and tenants
  • Renew yearly garage contracts
  • Supervise computer updates and maintenance with Tech company
  • Answer info@ correspondence 
  • Field calls for tours and housing advise
  • Assist with J-HAP fundraising projects and events

Experience and Qualifications

  • Qualifications:
  • Proficiency in Microsoft Office and database management
  • Strong written and verbal communication skills.
  • Excellent time management skills and ability to multi-task and prioritize work
  • Ability to successfully work independently
  • Ability to work effectively in collaboration with diverse groups of people
  • Knowledge of social media platforms
  • Attention to detail and excellent problem-solving skills
  • Salary: $30/hr for 30 hrs a week, 6 hours/day Monday thru Friday
